我们先看一封目的是要求员工改进,可是写得不专业、又长又伤人的信件:

After careful reviews of the weekly reports that some of you have been writing, 2a) I can no longer hold my tongue about the apparent mistakes.

3a) I must make myself clear, that, spelling errors and grammar mistakes are absolutely not allowed. 4a) The behavior of not checking your spelling and grammar before sending in a formal report is totally unprofessional, and unacceptable

5a) Regarding the format, each of you has invented a way to write the date. 5b) Some of you wrote 03162016, some wrote 16th March, 2016, while some prefer 2016, March 16th. 2b) For crying out loud, please try to be professional, and use the format that we have always been using: March 16th, 2016.

6a) I have included a perfect sample that I have written. Try to get it right from now on, because every single one of you is expected to turn in reports just like the one attached.

7a) Remember that, I will be happy to find others who are competent enough to meet my expectations. 8a) I am making myself clear. 8b) Please do not make me repeat myself, again!

我必须说清楚。错字与不正确的文法是绝对不允许的!你们没有在交报告之前再次检查拼字与文法,很不专业,也不能被接受。

关于格式,你们好像每个人都发明了一种写报告上日期的格式。有些人用 03162016,有些人用 16th March, 2016,有的人更喜欢 2016, March 16th.。我真的拜托你们,请尽量专业一点,并使用我们一贯的格式:March 16th, 2016。

我在附件夹带了一个我写的完美的样本。从现在开始,每一个人都要交出与它一样的报告。

请记住,我会乐意去找其他有能力的人来满足我的期望。我讲清楚。请不要让我再重复我的话了!

1. 不要叫同事员工

1a) Dear Employees,

在职场的团队中每个人都是同事。说 Dear Employees 听起来好像在叫身份卑微的属下。

2. 不要用俚语

2a) I can no longer hold my tongue

「我不能再保持沉默」听起来就是有很大的不满,要吵架的前兆。

2b) For crying out loud,

「真的拜托你们」这样的用语也太情绪化了。

3. 加重语气、惊叹号、与一再表示对于对方的不满对问题没有帮助

3a) I must make myself clear, that, spelling errors and grammar mistakes are absolutely not allowed on your weekly reports!

「我要讲清楚」,与在「不准」前面加一个「绝对」完全就是非常火大、要教训人的口气。

4. 不要用恶言评论员工的行为与能力

4a) The behavior of not checking your spelling and grammar before your send in a formal report is totally unprofessional, and unacceptable.

写错字与文法不正确是需要加强的专业性,不是什么「行为」。

5. 不要小题大作

5a) Regarding the format, each of you has invented a way to write the date.

不要用嘲讽的语气来指出别人需要改进的地方。

5b) Some of you wrote 03162016, some wrote 16th March, 2016, some prefer 2016, March 16th.

把不满的地方放大检视只有负面效果。

6. 不要炫耀

6a) I have included a perfect sample that I have written.

主管的能力不需要自我表扬

7. 不要威胁

7a) Remember that, I will be happy to find others who are competent enough to meet my expectations.

不需要强调自己有权利裁员、把机会给别人。

8. 不要一再强调对方不对的地方

8a) I am making myself clear.

就算是最后也不必用警告的态度告知对方。

8b) Please do not make me repeat myself, again!

重点早就讲过了,不用重复。

3a) 1. Double check the spelling and grammar. 4a) For instance, “The clients express there concerns of the customer service’s efficiency.” is incorrect. The correct sentence should be, “The clients have expressed their concerns regarding our customer service’s efficiency.”

2. When you fill out the date, 4b) please always use the format March, 18th 2016. And do not use numbers to represent the month, 5a) because that often causes confusion for the person who reviews the files.

3. Please always use the same font, font size and indentation. 4c) Please refer to the attached file.

2b) I believe we will continue to perform well this quarter. Your weekly reports are essential while demonstrating our team’s exceptional effort.
